TERMS
AND CONDITIONS
In these Terms and Conditions:
“OAKLEY HALL” signifies Oakley Hall, Rectory Road, Oakley,
Basingstoke, Hants. RG23 7EL.
“THE CLIENT” signifies the person/s/organiser/company
responsible for the booking and/or payment of the event at Oakley
Hall.
Booking Confirmation:
 |
Any booking is considered provisional until
Oakley Hall receives a signed copy of these terms and conditions
and the required deposit from The Client. |
 |
Receipt of the above will be deemed to be
The Client’s acceptance of the terms and conditions. |
 |
Oakley Hall reserves the right to resell
the facilities offered should the above not be received within
14 days from the initial enquiry. |
Deposits and Payments:
 |
Following the initial enquiry from The Client,
Oakley Hall will send a pro-forma invoice for the total estimated
costs, based on the numbers and requirements advised by The
Client, of which a deposit of 50% must be paid. |
 |
The outstanding balance must be paid in full
to Oakley Hall by no later than 14 days prior to the event.
Until this time, the pro-forma invoice will be amended if and
when details change. |
 |
Bookings made within 14 days of the event
must be paid in full at time of booking. |
Numbers:
 |
Provisional numbers will be requested and
agreed at time of booking. |
 |
At least 14 days prior to the event, The
Client must confirm to Oakley Hall the number of guests attending.
For safety reasons, this number may not then subsequently be
exceeded. |
 |
The ultimate charge to The Client will be
calculated using the final number confirmed by The Client to
Oakley Hall at this time. |
 |
If, on the day of the event, the number of
attendees is less than the confirmed number, Oakley Hall reserves
the right to charge for not less than the full value of the
event for the originally confirmed number. |
Prices and Payment:
 |
Prices quoted on all Oakley Hall literature
are for the current year only and are subject to variation up
to 16 weeks prior to the event date, after which, except for
Client changes, they may only vary due to reasons beyond Oakley
Hall’s control (e.g. VAT), in which case The Client will
be notified immediately. In such event the Client will have
the right to cancel the event without charge. |

Payment is by cash, cheque or credit cards
that are accepted by Oakley Hall. Cheques should be made payable
to Oakley Hall Park Ltd. |
Cancellation by the Client:
 |
In the event of cancellation of a booking,
written confirmation must be received by Oakley Hall. This will
be acknowledged within 5 working days and will detail any charges
that may apply. |

For event cancellations, the following charges
will apply:
 |
6 months plus |
Full deposit shall be returned |
 |
2 to 6 months |
25% of the total pro-forma invoice
shall be levied |
 |
14 days to 2 months |
50% of the total pro-forma invoice
shall be levied |
 |
Less than 14 days |
100% of the total pro-forma invoice
shall be levied |

 |
For any guest cancellations after the 14
day deadline, the full price previously agreed by both parties
will be charged with no exceptions. |
Changes/Cancellation by Oakley Hall
 |
Oakley Hall reserves the right to cancel
the booking in the event of adverse weather conditions, mechanical
breakdown, safety reasons or for any other reason beyond the
control of Oakley Hall. In such circumstances, a suitable alternative
date or a full refund will be offered to The Client. |

Oakley Hall reserves the right to change/cancel
the booking at any time, and without liability to The Client,
if:
 |
The Client is unable to pay it’s
debts according to invoices provided and their noted time
scales, or if Oakley Hall becomes aware of any changes
to The Client’s financial situation. |
 |
If the booking might, in the opinion
of Oakley Hall, prejudice the reputation of Oakley Hall.

 |
Any part of Oakley Hall is closed or
unable to operate for any reason beyond the control of
Oakley Hall. |
|
 |
If Oakley Hall cancels the booking for any
reason other than those stipulated above, then it will use all
reasonable endeavours to provide suitable alternative arrangements.
In any event, Oakley Hall’s liability to The Client shall
be no greater than the amount paid by The Client to Oakley Hall
in respect of any booking. |
Etiquette and Controls

Oakley Hall reserves the right to judge acceptable
levels of behaviour of The Client and guests and The Client
must take all steps necessary for corrective action. In the
event of failure to comply, Oakley Hall reserves the right to
cancel the booking or terminate the event without liability.

Oakley Hall is licensed to serve alcohol.
However, for obvious safety reasons, it is Oakley Hall’s
policy that, both prior to and during the shooting event, no
alcohol will be served to or be consumed by, those attending
the event. The Client and it’s guests are expected to
comply with this policy and Oakley Hall reserves the right to
remove from the premises/grounds any person/s offending against
this policy without liability. |

It is Oakley Hall’s policy not to discriminate
on the grounds of race, colour, nationality, ethnic origin,
creed, sex, marital status or disability. The Client and it’s
guests are expected to comply with this policy and Oakley Hall
reserves the right to remove from the premises/grounds any person/s
offending against this policy without liability. |

Oakley Hall and all events held within the
premises and grounds are subject to statutory controls including
those relating to fire, licensing and entertainment, and must
be strictly observed by The Client and guests at all times.

In booking an event at Oakley Hall, The Client
should be aware that other parts of Oakley Hall are open to
the public and is expected to exercise due discretion at all
times. |
Damage and Liability
 |
Oakley Hall provides all equipment, excluding
personal effects, clothing and footwear, necessary to participate
in the shooting event. The Client and it’s guests are
welcome to bring their own appropriate equipment, subject to
the discretion of Oakley Hall, but at their own risk. |
 |
Other than for death or personal injury caused
by negligence, Oakley Hall and it’s employees will not
be liable for any loss, damage or expenses to any person or
object however caused. |
 |
Save for the above clause, The Client will
indemnify Oakley Hall from and against any and all liability
and any claims, costs, demands, proceedings and damages resulting
from the event and The Client and it’s guests. |
 |
The Client is responsible for any damage
caused to the premises, furnishings and equipment of Oakley
Hall by any act or neglect of The Client and it’s guests
and shall pay Oakley Hall on demand the amount required to rectify
the damage. |
 |
Oakley Hall cannot accept responsibility
for any belongings left unattended during or after any event.

Oakley Hall advises all clients to consider
insurance cover in respect of damages, cancellation and personal
belongings. |
|
